Scanning Services

We specialize in optical scanning services for UTA faculty and staff. OIT can scan both tests and data but only on the following sheets: form number 4521 (the blue form which provides 5 possible responses) and form number 6703 (the green form which provides 10 possible responses). Once the tests are optically scanned, reports are compiled and emailed directly to the professor.

Our equipment cannot scan forms other than the two listed above. Therefore, at this time, we cannot scan Scantron form 882-E. Please contact your department head for information on scanning the smaller forms.

Preparation

During your test:

  • Have your students use Scantron Form 4521 or 6703 for the exam.
  • All scan sheets should be filled out in pencil. The scanner cannot read ink.
  • The scanner is very sensitive to erasures.
  • For test scanning, be sure that every student has bubbled in their name and student ID number in the correct place on their test scan sheet. If neither the student name nor student ID is filled in, that test will not be scanned and graded.

Preparing your exam for drop off

  • Orient sheets to be scanned in the same direction. All sheets should be facing up, and the top of each documents should correspond with the top of the documents underneath it.
  • For test scanning, include a correctly filled out key sheet for every set of scan sheets that should be processed as a unit. The key sheet should be placed as the first sheet in a unit of exams. Please see look through our additional help guides if you need assistance filling out your key.
  • Every set of scan sheets that should be processed as a unit should have the key as the first sheet and should be separated with a large clip or a manila envelope. Please no paper clips or rubber bands.
  • Fill out a Scanning Submittal Form completely and correctly for all scanning material (a copy of this form is included in PDF format). A separate scanning submittal form should be filled out for each set of scan sheets that should be processed as a unit. If the information on the scanning submittal form cannot be read, an attempt will be made to contact the instructor. If he/she cannot be reached, the scan sheets will be returned without processing.

Scantron Drop-Off

Scantron Drop-Off:

  • Print and Fill out the Scanning Submittal Form.
  • Orient the scantrons so that they are all facing the same direction.
  • Place the key for the scantrons on top of all of the student scantrons, place the Scanning Submittal Form on top of the key.
  • Place the tests into a manila envelope (or campus envelope).
    • Manila envelopes will be available for Faculty at the OIT Computer Lab located on the second floor of the University Center.
  • Place the manila envelope inside the parcel dropbox located by the OIT Computer Lab located on the second floor of the University Center.

Scantron Scanning:

  • Tests dropped off before 10am will be processed the same day.
  • The output from each scan run will be emailed to the email address on the scanning submittal form at the time of scanning. The email address must be a UTA faculty/staff email address. No printed copies will be provided.
  • During Midterms and Finals, we will have two pickup times per day so that the increase in volume does not result in delays.

Scantron Return:

  • Scantrons will be held for one business day to verify there is no need to rescan.
  • Scantrons will then be mailed to the delivery location provided on the Scanning Submittal Form through UTA Mail Services.
    • The delivery timeframe provided by UTA mail services is one to two business days.
    • If necessary you can arrange for special delivery by emailing scanningservices@uta.edu.

Scantron drop-off box is located in University Center 200 for assistance finding location of the dropoff box please ask inquire with the staff member in the OIT Lab located on the second floor of University Center.

Drop Off Hours of Operation

  • Scantrons can be dropped off any time the University Center is open.The location where the drop box is located is manned by our staff while the UC Building is open, though they cannot always be right next to the box. In addition, the drop box is monitored by video surveillance cameras to monitor tampering.

Scanning Services Hours of Operation

  • Monday - Friday: 8:00 AM to 5:00 PM

Scantrons that are dropped off by 10:00 AM will be scanned and returned the same day, provided that all of the required information is provided. If there are a significant number of scantrons that will not be graded properly we will reach out to the faculty to discuss in detail how to best resolve the issues.
