Think Outside the Box.  Switch to OneDrive Today.

The University of Texas at Arlington is migrating to OneDrive, a secure cloud-based storage platform fully integrated with all Office 365 applications including Word, Outlook, Excel, PowerPoint, Teams, and SharePoint. 

OneDrive enables users to collaborate on a single file, eliminating multiple drafts and troublesome version conflicts. Files stored in OneDrive are automatically synced to the cloud and can be accessed from any device including computers, tablets, and smartphones. 

This project directly aligns to the University’s strategic goal of reimagining institutional infrastructure by providing a cost-effective storage solution and a secure, stable collaborative document repository. 

OneDrive unites faculty, staff, and students across campus, providing an increased opportunity for students to become familiar with software commonly used in today’s workforce, in keeping with the strategic goal to educate beyond the classroom and ensure student success.

A detailed migration schedule will be communicated once migration groups are defined.

COMMON QUESTIONS

Are you replacing the K and J or other shared drives on campus with OneDrive?

  • No, this is not a part of the Box Migration project.

Can I share links to files with colleagues in other institutions?

  • Yes, you can. They do not need a Microsoft account to receive your files.

Is there an automated process to move from Box to One Drive?

  • In many cases, there will be an automated process that will only require verification afterwards to ensure all needed files were moved.
  • A pilot will be conducted with selected staff, faculty, and students to help us identify any possible issues before migration.
  • There will be more information on this as we approach the migration dates.

When will migration to OneDrive take place?

  • OIT is working with faculty and staff to determine the most efficient manner and dates to move users from Box to OneDrive.
  • Users will be grouped in “waves” and will be given 30 days notice prior to their move date to ensure a smooth transition.
  • A detailed schedule will be communicated once migration groups are defined.

What should I do to prepare for the move to OneDrive?

  • Delete unused files.  Review your files in your Box account and delete any unused files or archive unused files by moving them to other storage such as your local hard drive.  All remaining Box files will be moved to OneDrive.
  • Review share permissions.  Review your files in your Box account and determine if you have external shares (people with non @uta.edu emails.)  Make a note of these files and shares as the permissions will need to be reestablished after the move to OneDrive.  Files shared inside UTA (with @uta.edu emails) and their permissions will remain intact.
  • Review business or academic processes.  Look at your business or academic processes and determine if your sharing permissions are integrated into a workflow where faculty, staff, or students rely on the file share to complete tasks. 

What happens to content stored in Box?

  • Content stored in Box will be moved to OneDrive for all faculty, staff, and students. 
  • After migration, files in Box will be changed to “read only” and no further uploads will be accepted.
